Position Overview

The Executive Assistant will provide comprehensive administrative and strategic support to the executive leadership team, reporting directly to the Founder. This role ensures seamless coordination, communication, and execution of key initiatives, enabling leadership to focus on high-impact priorities.

Key Responsibilities

  • Provide high-level administrative support to executives, including calendar management, meeting scheduling, and travel coordination.
  • Screen, prioritize, and manage incoming communications to ensure timely responses and effective follow-up.
  • Draft, review, and proofread correspondence, reports, presentations, and other executive documents.
  • Organize and maintain critical documents and files for efficient access and retrieval.
  • Coordinate complex appointments, meetings, and events, ensuring all logistics and materials are in place.
  • Manage conflicting calendar demands while optimizing executive time and priorities.
  • Prepare agendas, briefing materials, and resources to ensure executives are well-prepared for meetings.
  • Assist with special projects, including research, report preparation, and data compilation.
  • Coordinate logistics for internal and external events such as board meetings, client engagements, and conferences.
  • Follow up on action items from meetings to ensure timely completion and accountability.
  • Serve as a liaison between executives, internal teams, clients, and external stakeholders to maintain clear communication and alignment.

Required Experience & Qualifications

  • Experience: Proven track record in executive-level administrative support, managing multiple priorities in a fast-paced environment.
  • Leadership: Experience liaising with senior executives and cross-functional teams; ability to manage sensitive information with discretion.
  • Technical Expertise: Proficiency in scheduling systems, document management, and communication tools.
  • Soft Skills: Highly organized, detail-oriented, proactive, and resourceful; strong written and verbal communication skills.
